Contract Renewal Reminder

Contract Renewal Reminder emails you before an important date in a document library arrives - a vendor contract renewal, a lease expiration, an agreement end date - so you act with time to spare. You set it up in a couple of clicks from the library's Automate menu (Set a reminder) and choose how many days ahead to be warned; SharePoint checks daily and sends it for you. It quietly creates a personal Power Automate flow you can customize later, but there is no flow to build and no custom development to get started.

Common Questions About Contract Renewal Reminder

If LookBook 365 is code-free and out-of-the-box, why does it include this workflow example?

The reminder is switched on from SharePoint’s native Automate menu in a couple of clicks – there is no flow to build and no custom development. It does generate a personal Power Automate flow behind the scenes, which stays inside your Microsoft 365 tenant and which you can open and adjust at any time. You get a working reminder with none of the setup a custom solution would need.

How many days before the date does the reminder arrive?

You choose the number of days in advance when you set it up. If you later want to change it, you open the flow it created in Power Automate and adjust the value there. I can set the timing, or fine-tune the email, for you.

Who receives the reminder emails?

By default only the person who created the reminder receives them, because the flow runs under their account. If several people need the reminder, each can create their own, or the flow can be adjusted in Power Automate to email a group. That kind of shared reminder is a quick customization I can handle.

Do I need a special column for this to work?

Yes. The library needs a date column, such as Expiration Date or Renewal Date, for the reminder to track. Once that column exists and is filled in, the reminder watches it automatically.

Can I customize the reminder email?

Yes. The email SharePoint sends is generated by the flow it created, so you can open that flow in Power Automate and change the wording, add details from the document, or route it differently. If you would like a branded or more detailed reminder, I can build that for you.

Can you set this up and train my team?

Absolutely. I help organizations put simple, reliable reminders in place using out-of-the-box SharePoint, then show your team how to manage them. If you need shared reminders, custom timing, or richer emails, I can extend the underlying flow so it fits your process.
