Add Shortcut to OneDrive

Adds a shortcut/link in User's OneDrive that links to a SharePoint folder or library, making it accessible from both OneDrive (web) and File Explorer across devices.

Common Use Cases

  • Cross-site one-stop shop: add shortcuts to frequently accessed SharePoint project folders from multiple sites into one OneDrive location for a consolidated personal workspace
  • File Explorer integration: access SharePoint team folders directly in Windows File Explorer via OneDrive alongside personal files — without navigating SharePoint in a browser
  • Mobile access: access SharePoint library folders from the OneDrive mobile app, which many users find more intuitive than the SharePoint mobile app for file browsing

Benefits

  • Cross-device availability: unlike Sync (which is machine-specific), shortcuts are tied to the user’s Microsoft 365 account and appear on all devices automatically
  • No disk space consumed: shortcuts are just pointers. Files are not downloaded unless explicitly opened or synced separately
  • Access via File Explorer: OneDrive for Business syncs shortcut folders to File Explorer on Windows, enabling users to open, save, and move SharePoint files using the familiar file system
  • Coexists with personal OneDrive: shortcuts appear alongside personal OneDrive files in the same interface, creating a unified workspace across personal and team content
  • Managed per user, not per device: adding or removing a shortcut on one device updates it across all devices signed into the same account

Key Considerations

  • Shortcut name conflicts: if two SharePoint folders have the same name and both are added as shortcuts, one is automatically renamed with a number suffix.
  • Access loss breaks shortcut: if SharePoint permission is removed, the shortcut stops working; it remains in OneDrive but is non-functional until access is restored
  • Library vs. folder-level shortcuts: add folder-level shortcuts when you only need access to a subset of a large library, rather than shortcutting the entire library
  • Admin can disable shortcut creation: tenant admins can disable Add Shortcut to OneDrive via SharePoint admin center settings for compliance or storage management reasons
  • Shortcut removal is non-destructive: removing a shortcut from OneDrive does not affect the source SharePoint folder or any files; it only removes the pointer
